Field Inspection · Yadadri ("the App") is built by Farmwise AI Private Limited for the District Collector's Office, Yadadri. It enables authorised Field Officers, Site Representatives, and Heads of Department to conduct on-ground surveys, raise issues, and review resolutions. This policy explains what data we handle and how we protect it.

1. Overview

This Privacy Policy applies to the Field Inspection · Yadadri application and the services delivered through it. By installing or using the App you agree to the practices described here. The App is intended only for authorised government and field personnel; it is not a consumer-facing product.

2. Information We Collect

We collect only the information needed to authenticate you, route work to the right role, and complete a verifiable record of fieldwork.

Account & Profile

  • Name and display name — for the role-specific home screen and audit trail.
  • Phone number — used by Field Officers and Site Representatives for OTP-based login.
  • Email address — used by Heads of Department and administrators for password-based login.
  • Assigned role — Field Officer, Site Representative, or HOD. This determines what you see and can do.

Authentication

  • One-time passwords (OTP) — generated and verified server-side; never stored on the device after verification.
  • Session tokens — issued by the backend and stored in encrypted device storage (Android Encrypted SharedPreferences / iOS Keychain).

Operational Data

  • Survey responses — answers you submit while completing assigned tasks, including text, numeric, and choice inputs.
  • Photos and attachments — captured or uploaded as evidence for a survey or issue.
  • Location coordinates — captured at the moment you mark a site or submit a survey, to confirm on-ground presence.
  • Issue reports — descriptions and supporting evidence you raise for departmental review.
  • Activity timestamps — when tasks are opened, submitted, or marked complete, for audit and SLA tracking.

Device & Diagnostic Information

  • Device model, operating system version, and app version — for compatibility and crash diagnostics.
  • Anonymous error logs — captured when the App encounters an unexpected condition.

3. How We Use Your Information

  • To authenticate you and route you to the correct role-specific workflow.
  • To assign and track field tasks, surveys, and issues.
  • To preserve a tamper-evident audit trail of fieldwork for departmental review.
  • To enable Site Representatives and Heads of Department to verify and sign off on resolutions.
  • To improve App reliability, performance, and security through diagnostic data.
  • To comply with applicable laws, regulations, and lawful government directives.

We do not use your information for advertising. We do not sell personal data to third parties.

4. Location & Camera Permissions

The App requests the following device permissions only when they are needed for an active task:

  • Location (foreground) — to confirm presence at a site at the moment a survey is started or submitted. Background location is not used.
  • Camera — to capture evidence photos for surveys and issue reports.
  • Photo library / storage — to attach existing images where the workflow permits.
  • Notifications — to alert you to new assignments, status changes, and reminders.

You can revoke any of these permissions at any time from your device settings. Revoking a required permission may prevent the affected workflow from completing.

5. Data Sharing & Disclosure

We share your information only with the following parties, and only to the extent necessary:

  • The District Collector's Office and authorised government users — survey responses, photos, and reports are made available to authorised personnel for the purpose of operational review.
  • Cloud infrastructure providers — the App's backend runs on Amazon Web Services (AWS) in the Asia Pacific (Mumbai) region. Data is encrypted in transit and at rest.
  • Law enforcement or regulators — where disclosure is required by applicable law, a valid legal process, or to protect the rights, property, or safety of any person.

We do not share your personal data with advertisers, marketers, or any third party for commercial purposes.

6. Data Security

We apply administrative, technical, and physical safeguards designed to protect your information:

  • All network traffic between the App and the backend uses HTTPS / TLS.
  • Authentication tokens are stored in encrypted device storage (Keychain on iOS, Encrypted SharedPreferences on Android).
  • Every backend endpoint enforces role-based authorisation; the App cannot make role claims of its own.
  • Server-side data is encrypted at rest in our cloud database and object storage.
  • Access to production systems is limited to a small number of authorised engineers and audited.

7. Data Retention

We retain your information for as long as your account remains active and for such longer period as is required to meet legal, audit, and operational requirements of the District Collector's Office. Survey and issue records form part of an official audit trail and are retained accordingly. When data is no longer required, it is deleted or anonymised in accordance with our retention schedule.

8. Your Rights

Subject to applicable law, you may have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your account, subject to legal and audit retention obligations.
  • Withdraw permissions previously granted to the App through your device settings.

9. Children's Privacy

The App is intended solely for authorised adult government and field personnel. It is not designed for, marketed to, or intended to be used by anyone under the age of 18. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time to reflect changes in the App, our practices, or applicable law. When we make material changes, we will update the "Effective" date at the top of this page and, where appropriate, notify you in the App. Please review this policy periodically.
